How to Upgrade, Downgrade, and Use Resource Packs

Your business grows and changes — your TenancyDesk plan should adapt with it. This guide covers everything about plan changes and resource packs.

Upgrading Your Plan

When to Upgrade

You've hit capacity limits:

  • Approaching max team members (e.g., 19/20 on Pro)
  • Near max active deals (e.g., 90/100)
  • Storage almost full (8 GB/10 GB used)
  • Consistently buying the same resource pack month after month

Your team is growing:

  • Solo → Starter: Hiring your first employee
  • Starter → Pro: Team growing beyond 5 agents
  • Pro → Enterprise: Team exceeding 20 agents

You need Enterprise-only features:

  • API integrations (connect with external CRM/ERP)
  • SSO/SAML (centralized authentication)
  • Multi-branch management
  • Custom branding (white-label portal)

Upgrade Process

Steps:

  1. Go to SettingsBilling
  2. Click Upgrade Plan
  3. Select new plan (Starter, Pro, or Enterprise)
  4. Review price difference
  5. Confirm upgrade

What happens immediately:

  • Higher usage limits unlock instantly
  • Enterprise features activate (if upgrading to Enterprise)
  • Billing prorated automatically
  • No service interruption

Prorated Billing Example:

  • Current plan: Starter (AED 299/month)
  • Upgrade to: Pro (AED 599/month)
  • Upgrade date: March 15 (mid-month)
  • Days used on Starter: 15 days (AED 150)
  • Days left on Pro: 15 days (AED 300)
  • You pay: AED 300 (for remaining 15 days)
  • Next month: Full AED 599/month

No double billing: Credits from unused Starter days applied automatically.


Downgrading Your Plan

Important Considerations

Think carefully before downgrading:

Limit implications:

  • If you have 80 active deals and downgrade to Starter (25 max):
    • Existing deals stay active (grandfathered)
    • Cannot create new deals until count drops below 25
    • Must complete or close deals before creating new ones

Enterprise feature loss (if downgrading from Enterprise):

  • API access revoked (integrations will stop working)
  • SSO disabled (users switch to email/password login)
  • Multi-branch consolidated to single branch
  • Custom branding removed
  • Webhook deliveries stop

Data preservation:

  • All deals, documents, contacts preserved
  • Historical data intact
  • But you cannot create new items beyond your new plan's limits

Downgrade Process

  1. Go to SettingsBilling
  2. Click Change Plan
  3. Select lower plan
  4. System shows Impact Report:
    • Limit changes
    • Enterprise features you'll lose (if applicable)
    • Data migration notes
  5. Confirm understanding
  6. Downgrade scheduled for next billing cycle (not immediate)

Why next billing cycle?

  • Prevents accidental downgrades
  • Gives time to reconsider
  • Ensures you get full month value

Refund policy: No partial refunds for mid-month downgrades.


Managing Your Subscription

Billing Cycle

Monthly billing (default):

  • Charged on same date each month
  • Auto-renews unless cancelled
  • Invoices sent 3 days before charge

Annual billing (save 20%):

  • Pay for 12 months upfront
  • 20% discount on all plans
  • Enterprise: Often required for custom pricing

Payment Methods

Accepted:

  • Credit/Debit card: Auto-billing (recommended)
  • Bank transfer: For annual plans or Enterprise
  • Company cheque: Enterprise plans only

Failed payment handling:

  • Day 1: Auto-retry
  • Day 3: Email reminder + retry
  • Day 7: Service suspended (read-only mode)
  • Day 14: Account deactivated
  • Day 30: Data scheduled for deletion

Resource Packs: The Complete Guide

What Are Resource Packs?

Resource packs are one-time purchases that temporarily increase your plan's usage limits. Unlike your subscription, resource packs:

  • Are charged once at the time of purchase (not recurring)
  • Are valid for 30 days from purchase date
  • Do not auto-renew — buy a new pack when you need one
  • Are processed via Paddle invoice (instant charge, proper VAT invoice)

Purchasing Resource Packs

Method 1: Inline Purchase (when approaching limits)

When you reach 75-90% of a usage limit, a warning appears directly in the relevant Settings section:

  • Example: "Deal Slots 22/25" → "Purchase +10 Deals Pack (49 AED)"
  • One-click purchase without leaving the page
  • Charged instantly, pack active immediately

Method 2: Billing Tab (full catalog)

  1. Go to Settings → Billing → Resource Packs tab
  2. Browse all 10 packs
  3. Click Buy Resource Pack on any pack
  4. Review price (including 5% VAT)
  5. Confirm purchase
  6. Pack activates immediately

Resource Pack Purchase Details

Billing:

  • Charged as a one-time Paddle invoice (instant charge)
  • Proper VAT invoice generated for accounting
  • No proration — you get the full 30 days regardless of when you buy

Expiry:

  • Pack expires exactly 30 days after purchase
  • Unused capacity is not refunded or rolled over
  • Purchase a new pack if you still need extra capacity

Stacking:

  • You can purchase multiple packs of the same type
  • Example: 2× +10 Deals packs = 20 extra deals for 30 days
  • Each pack expires independently (30 days from its own purchase date)

When to Use Resource Packs vs. Upgrading

Use resource packs when:

  • You need a temporary capacity boost (seasonal spike, one-time project)
  • You're hitting ONE limit but not others (e.g., deals are full but team size is fine)
  • Cost of pack < 30% of next plan upgrade
  • You want to test whether higher capacity is needed before committing to an upgrade

Upgrade to next plan when:

  • You consistently buy the same resource pack 3+ months in a row
  • You're hitting MULTIPLE limits simultaneously (deals + users + storage)
  • Your team size requires the next tier
  • You need Enterprise-only features (API, SSO, multi-branch)

Quick comparison:

  • Starter (AED 299) hitting deal limit → +10 Deals pack (49 AED) = AED 348/month vs. Pro upgrade (AED 599)
  • If you only need more deals occasionally, the pack saves you AED 251/month
  • If you need more deals every month, upgrading to Pro is more cost-effective (100 deals included)

Resource Pack FAQs

Q: Do resource packs auto-renew? A: No. Each pack is a one-time purchase valid for 30 days. You must manually purchase a new pack if needed.

Q: What happens when a resource pack expires? A: Your limits return to your base plan values. If you're over the limit (e.g., you have 30 deals on a 25-deal Starter plan), existing items remain active but you cannot create new ones until you're back under the limit.

Q: Can I get a refund on a resource pack? A: Resource packs are non-refundable since they are instant one-time charges. Consider your needs carefully before purchasing.

Q: Can Solo plan users purchase all packs? A: Solo users can purchase the 6 standard packs. The 4 premium packs (larger deals, team members, storage packs) require Starter plan minimum.

Q: Do resource packs work with annual billing? A: Yes. Resource packs are always one-time purchases regardless of whether your base plan is monthly or annual.

Q: What if I upgrade my plan while a resource pack is active? A: The resource pack remains active until its 30-day expiry. Your new plan's higher limits apply on top of any active packs.


Start with the plan that fits your current needs. Use resource packs for temporary boosts, and upgrade when your team consistently outgrows your plan.
