Understanding Parties in TenancyDesk

"Party" = any person or entity involved in rental deals

Party Types:

  1. Tenants: Individuals/companies who rent
  2. Landlords: Individuals/companies who own property
  3. Contacts: Other parties (lawyers, property managers, guarantors)

Reuse Across Deals:

  • Create tenant once โ†’ use in 10 deals
  • Create owner once โ†’ use for all their properties
  • No duplicate data entry = Faster deal creation

Tenant Management

Creating Tenant Profile

From Deal Creation:

  1. In new deal form, Tenant Details โ† start typing
  2. If new tenant โ†’ Create New Tenant
  3. Fill in:
    • Full name (from Emirates ID)
    • Emirates ID number
    • Contact information (phone, email)
    • Address (optional)
  4. Save โ†’ Tenant added to your database

From Party Management:

  1. Parties โ†’ Add Tenant
  2. Fill complete details (as above)
  3. (Optional) Upload documents (Emirates ID, passport) now
  4. Save โ†’ Available for any deal

Reusing Existing Tenants

Scenario: Fatima Ali rented an apartment from you in 2024. Now she wants another one.

Workflow:

  1. Create New Deal
  2. Tenant Details โ† start typing "Fatima"
  3. TenancyDesk suggests: "Fatima Ali (784-1990-XXXX, fatima@email.com)"
  4. Select from dropdown
  5. All details auto-filled (name, Emirates ID, phone, email)
  6. Documents inherited: Emirates ID/passport from previous deal auto-copied

Tracking Tenant History

For each tenant, view:

  • All deals (past, current, upcoming)
  • Payment history (on-time vs late)
  • Communication history (Emails, SMS sent)
  • Saved documents (Emirates ID, passport, visa)
  • Tags and notes (good tenant, late payer, etc.)

Blacklists (Enterprise feature):

  • Flag problematic tenants
  • Block from new deals
  • Share blacklists across branches

Landlord Management

Creating Owner Profile

From Deal Creation:

  1. Owner Details โ† start typing
  2. If new owner โ†’ Create New Owner
  3. Fill in:
    • Full name (must match title deed exactly)
    • Passport/Emirates ID
    • Bank details (IBAN, bank name)
    • Contact information
  4. Save โ†’ Owner added

Best Practice: Request title deed first, then enter owner name exactly as shown. Mismatch = Ejari rejection.

Owners with Multiple Properties

Scenario: Khalid Rahman owns 5 apartments in Business Bay.

Workflow:

  1. Create owner profile once
  2. Create 5 property profiles, all linked to Khalid
  3. When creating deal:
    • Select Khalid as owner โ†’ TenancyDesk suggests all his 5 properties
    • Choose correct property from list
    • Owner details auto-filled

Benefits:

  • One update to owner bank details โ†’ applies to all 5 deals
  • Unified view of all Khalid's properties
  • Aggregated rent payments for same owner

Owner Sensitive Information

What's stored securely:

  • Bank account details (IBAN, SWIFT)
  • Title deed copies
  • Passport number

Who can access:

  • Admins: Full access
  • Managers: View only (no editing)
  • Agents: Contact info only (no bank data)
  • Property Administrators: No access

Encryption: All sensitive data encrypted at rest (AES-256)


Property Management

Property Database

Every property has a profile:

  • Full address
  • Location details (plot, building, unit)
  • Property type (apartment, villa, office)
  • DEWA number
  • Associated owner
  • Rental history (all previous deals)

Creating Property Profile

Method 1: From Deal Creation (common):

  • Enter address
  • If new property โ†’ TenancyDesk creates profile automatically
  • Fills from deal data + uploaded title deed

Method 2: From Property Management (in advance):

  • Properties โ†’ Add Property
  • Fill all details
  • Upload title deed
  • Save โ†’ Available for any deal

Benefits:

  • Faster deal creation (select from list)
  • Consistent information (same address across all deals)
  • Complete history (all previous tenants for this property)

Stored Property Information

Basic Details:

  • Address, plot/building/unit numbers
  • Property type
  • DEWA number
  • Associated owner

Rental History:

  • All previous/current deals
  • Occupancy dates (when rented, when vacant)
  • Rent history (how rent changed over time)

Documents:

  • Title deed
  • NOC from bank (if mortgaged)
  • Building permit
  • Current Ejari certificate

Compliance:

  • Last RERA check
  • Legal notice dates (previous evictions)
  • Dispute history (if any)

Best Practices for Data Quality

1. Consistent Naming

** Do**:

  • Use full names from official documents
  • Consistent formatting: "Omar Mohammed Khalid" (not "Omar M.", "O. Khalid")
  • Proper capitalization

** Don't**:

  • First name only ("Omar")
  • Abbreviations ("O.M. Khalid")
  • All caps ("OMAR MOHAMMED")

2. Keep Contacts Updated

When contact information changes:

  1. Update in party profile (not individual deal)
  2. TenancyDesk asks: "Update for all deals?"
  3. Select Yes โ†’ applies to all deals (past + future)

Example: Tenant changes phone number โ†’ one update in profile, applies to 5 deals.

3. Use Tags and Categories

Tags (examples):

  • "VIP Tenant" (repeat renter, pays on time)
  • "Late Payer" (late payment history)
  • "Corporate" (corporate tenant)
  • "High Value" (rent >AED 150k)

Categories:

  • By area (Dubai Marina, Business Bay, JLT)
  • By type (residential, commercial)
  • By owner (Khalid's properties, Fatima's properties)

Benefits:

  • Quick filtering ("show all VIP tenants")
  • Reports ("revenue from corporate tenants")
  • Targeted campaigns ("send renewal updates to Business Bay")

4. Merge Duplicates

Problem: Same tenant created twice with minor typos:

  • "Omar Mohammed Khalid"
  • "Omar Mohamed Khaled"

Solution:

  1. Parties โ†’ Detect Duplicates
  2. TenancyDesk suggests possible matches (name similarity algorithm)
  3. Review โ†’ confirm they're the same person
  4. Merge โ†’ all deals/documents move to master record
  5. Duplicate record deleted
