Every rental deal goes through 6 defined stages from initial creation to active lease. Understanding this workflow helps you manage expectations, track progress, and ensure smooth transitions through each stage.

Deal Lifecycle Overview

Stage 1: Draft

What Happens at This Stage

Initial Creation:

  • Agent enters basic deal details
  • Property, tenant, owner details
  • Financial terms (rent, deposit, commission)
  • Contract dates and duration

Document Status: Optional

  • Can save without any documents
  • Good for quick planning or quotes

Full Flexibility:

  • Edit any field at any time
  • Delete deal if cancelled
  • No compliance implications yet

Who Can Access:

  • Agent who created
  • Managers (can see all drafts)
  • Admins (full access)

When to Transition to Next

Ready to transition when:

  • Basic property details complete
  • Tenant and owner info accurate
  • Rent terms agreed
  • Payment schedule set

Stage 2: Documents Pending

What Happens at This Stage

Active Document Collection:

  • TenancyDesk generates required documents list (based on deal type)
  • Agent uploads documents or invites tenant to upload via Deal Portal

Deal Portal Active:

  • Tenant receives email invite with secure link
  • They can:
    • View deal progress
    • Upload their documents (Emirates ID, passport, visa)
    • View draft contract
    • Communicate with agent

Automated Compliance Checks:

  • TenancyDesk checks for missing documents
  • Flags expired IDs/passports
  • Calculates Ejari readiness score (0-100)

Automated Notifications:

  • Reminders to tenant (Email, SMS, WhatsApp):
    • "Still missing passport - please upload within 2 days"
  • Alerts to agent:
    • "Tenant uploaded Emirates ID - review now"

Typical Required Documents

From Tenant:

  • Emirates ID (both sides)
  • Passport (photo page)

Stage 3: Documents Complete

What Happens at This Stage

Final Verification:

  • All documents uploaded
  • AI extracted all data
  • No compliance flags

Prepare the Contract:

  • Agent prepares the Dubai Unified Tenancy Contract using their own template or the standard form
  • Deal and extracted-document data are on hand for reference, so fields are filled accurately
  • No re-keying โ€” the data already lives on the deal

Contract Review:

  • Agent reviews the prepared contract
  • Adds special clauses (if any)
  • Adds addendums (furniture, parking, pet rules)

Attach & Send for Signing:

  • Upload the prepared contract (PDF) to the deal โ€” TenancyDesk classifies and files it
  • Email to tenant and owner, or print for in-person signing

When to Transition to Next

Ready to transition when:

  • Contract prepared and reviewed
  • Sent to both parties for signing
  • Security deposit cheque collected (optional but recommended)

Stage 4: Contract Signed

What Happens at This Stage

Signature Collection:

  • Tenant signs (in person or digital)
  • Owner signs (in person or digital)
  • Agent witnesses (optional)

Signing Methods:

  1. In-person: Meeting with all parties

    • Tenant, owner, agent present
    • Sign 3 copies (tenant, owner, agent)
    • Scan and upload to TenancyDesk
  2. Your own e-signature tool:

    • Sign the downloaded contract with whichever e-signature service you use
    • Both parties sign from phone/computer
    • Upload the signed copy back to TenancyDesk

Upload Signed Contract:

  • PDF with visible signatures
  • All pages (1-4)
  • Signing date clear

Collect First Payment

Before Ejari, collect:

  • Security deposit (5% of rent)
  • First rent cheque (#1 of 4, or full payment)
  • Agency fee (if tenant pays)

Reason: Tenants who've paid are more committed, less likely to back out.

When to Transition to Next

Ready to transition when:

  • Contract signed by both parties
  • Signed PDF uploaded to TenancyDesk
  • First payment collected (recommended)
  • All signatures clear and legible

Manual โ†’ Agent clicks "Ready for Ejari"

Typical time in stage: 1-3 days (scheduling meeting + signatures)


Stage 5: Ejari Submitted

What Happens at This Stage

Submission Preparation:

  • TenancyDesk creates complete Ejari submission package:
    • Signed contract (PDF)
    • Tenant's Emirates ID
    • Tenant's passport and visa
    • Owner's passport
    • Title deed
    • DEWA number
    • Ejari application form (pre-filled)
  • Everything zipped into single file ready for upload

How submission works:

  1. Click "Download Ejari Package" in TenancyDesk
  2. Login to dubailand.gov.ae
  3. Select "Register New Tenancy Contract"
  4. Upload ZIP file
  5. Pay fees: AED 220 (online)
  6. Submit

Status Tracking:

  • TenancyDesk tracks Ejari reference number
  • Status updates:
    • "Submitted - Awaiting Review"
    • "Under Review - DLD verifying documents"
    • "Approved - Certificate Ready"
    • "Rejected - Corrections Needed"

If Rejected

Common Reasons:

  • Blurry images (re-scan at 300 DPI)
  • Expired documents (renew first)
  • Name mismatch (correct in deal)
  • DEWA number missing (add to property details)
  • Invalid RERA ORN (check settings)

Action:

  1. TenancyDesk creates task list from rejection reasons
  2. Agent fixes issues
  3. Re-upload updated documents
  4. Re-submit (same fee - no extra charge)

When to Transition to Next

Manual โ†’ When your Ejari registration is confirmed:

  • DLD issues the Ejari certificate and emails it to you
  • Upload the certificate to the deal and mark Ejari as registered
  • TenancyDesk records the Ejari reference and moves the deal to "Active"

Typical time in stage: 2-3 business days (DLD processing)


Stage 6: Active

What Happens at This Stage

Lease is Live:

  • Ejari registered
  • Contract legally binding
  • Tenant has keys
  • Rent collection begins

  • DEWA transferred to owner/new tenant

To Eviction:

  • Tenant non-payment/violation

Q: Can deals go backwards? A: Only Managers can move deal backwards (for corrections). All changes are audit-logged.
