Managing multiple portfolios with dozens of owners and hundreds of tenants requires systematic organization. This guide shows you how to structure TenancyDesk for maximum efficiency.

Scenario: You manage 120 units across 8 buildings for 15 different property owners.

Step 1: Organize by Portfolio

Use tags to create virtual portfolios.

Tagging Strategy:

Property: Marina Heights Tower, Unit 1205
Tags: Owner-Emaar, Building-Marina-Heights, Area-Dubai-Marina, Type-1BR

  • Filter all "Owner-Emaar" properties in 1 click
  • Generate building-specific reports instantly
  • Track compliance by owner/building/area

Action:

  1. Go to Properties โ†’ Settings
  2. Create tag categories: Owners, Buildings, Areas
  3. Tag all existing properties
  4. Use filters on Deals page to view by tag

Result: "Show me all Emaar deals approaching Ejari deadline" โ†’ 2-second query instead of 30-minute spreadsheet work.


Step 2: Team Assignment

Map team members to buildings/portfolios.

Structure:

  • Ahmed (Manager) โ†’ Oversees Dubai Marina buildings (3 buildings, 45 units)
  • Fatima (Property Administrator) โ†’ Handles Marina Heights deals (15 active deals)
  • Mohammed (Agent) โ†’ Processes individual renewals assigned to him

Action:

  1. Settings โ†’ Team Management
  2. Assign managers to portfolio tags
  3. Property Administrators inherit building/area assignments
  4. Agents get individual deal assignments

Dashboard View: Each team member sees deals based on their role. Agents see their own deals, Property Administrators see all company deals (edit assigned only), Managers see aggregate metrics for their portfolios.

Step 3: Automated Owner Reports

Set up monthly reports for each owner.

What Owners Want to Know:

  4. Compliance status (12/15 units Ejari-registered)

Step 4: Compliance Tracking at Scale

Monitor Ejari status across all units.

Critical View: Dashboard โ†’ Filter: Status: Ejari Pending AND Days to Deadline: < 7

What You See:

  • 2 deals with invalid DEWA number
