Step 1: One-Time Property Setup (10 min)

Action: Add your property with complete details.

Essential Information:

  • Address: Marina Heights Tower, Unit 1205, Dubai Marina
  • DEWA Premise Number: 1234567890 (find on DEWA bill)
  • Property Type: 1BR Apartment
  • Annual Market Rent: AED 95,000 (RERA index reference)
  • Title Deed Number: 123-4567

Why This Matters:

  • DEWA number is REQUIRED for Ejari β†’ Wrong number = rejection
  • Market rent helps calculate legal rent increases for renewals
  • Title deed must match exactly what's in DLD system

Pro Tip: Take 10 minutes now to enter this correctly. You'll use it for every tenancy over the next 10 years.

Attach Documents:

  • Title deed PDF
  • Floor plan (if available)
  • Photos of unit (condition documentation)

Step 2: Create Tenancy Deal (8 min)

Scenario: New tenant moving in January 1, 2026.

Enter Deal Details:

  1. Deal Type: New Rental
  2. Start Date: January 1, 2026
  3. Duration: 12 months
  4. Annual Rent: AED 95,000
  5. Payment Terms: 4 cheques (quarterly)
  6. Security Deposit: AED 5,000

Add Tenant:

  • Upload Emirates ID β†’ AI extracts name, ID number, expiry
  • Enter phone: +971 50 123 4567
  • Enter email: tenant@email.com

Upload Documents: Tenant Emirates ID (front + back, colored scan) Tenant passport (photo page) Tenant UAE visa Signed tenancy contract Your Emirates ID Title deed

Common Mistake: Skipping visa upload β†’ Ejari WILL be rejected. Don't assume typing center will tell youβ€”they charge AED 200 even if rejected.


Step 3: Automated Payment Tracking (2 min setup)

The Problem: You forget payment is due β†’ Tenant pays 5 days late β†’ You feel awkward chasing because you forgot too.

The Solution: Set it and forget it.

Action:

  1. Go to Payments tab in deal
  2. Click "Create Schedule"
  3. System auto-calculates: 4 cheques Γ— AED 23,750 each
  4. Due dates: Jan 1, Apr 1, Jul 1, Oct 1
  5. Enable reminders: 3 days before, on due date, 1 day after

What Happens:

  • 3 Days Before: Tenant gets WhatsApp/email: "Payment of AED 23,750 due on Jan 1"
  • On Due Date: Another reminder if not marked received
  • 1 Day After: Gentle overdue notice
  • You: Mark as received when tenant pays β†’ Reminders stop

Business Impact: Automated reminders help individual landlords stay on top of due dates and reduce late payments without manual chasing.


Step 4: Ejari Registration (30 min)

When: After contract signed and all documents collected.

Pre-Flight Check: Go to Ejari tab β†’ TenancyDesk shows: All documents present DEWA number valid format No expired documents Contract terms consistent

Score: 100/100 (Green) β†’ You're ready!

Visit Typing Center:

  1. Find authorized center near you (Google: "Ejari typing center Dubai Marina")
  2. Bring: Printed contract + USB with PDFs
  3. Fee: AED 220 (to RERA) + AED 100-200 (typing center)
  4. Time: 30 minutes
  5. Receive: Ejari certificate immediately

Upload Certificate: Back in TenancyDesk β†’ Upload Ejari certificate PDF β†’ Deal marked "Ejari Complete"

Why This Matters: Without Ejari:

  • Tenant can't get DEWA in their name
  • You can't evict tenant legally (even for non-payment!)
  • AED 1,000+ fines if inspected
  • Cannot file case at Rental Dispute Center

Step 5: Renewal Management (60-90 days before expiry)

TenancyDesk Alert: "Contract expiring in 90 days - Start renewal discussion"

Your Options:

Option A: Renew with Rent Increase

  1. Check RERA Rental Index: Is AED 95,000 β†’ AED 105,000 legal?
  2. TenancyDesk calculator: "Permitted increase: AED 4,750 (5%)"
  3. Send renewal offer to tenant: AED 99,750/year
  4. If accepted β†’ Create renewal deal (copies all data from original)
  5. New contract + new Ejari (old one auto-cancelled)

Option B: Renew Same Terms

  • Simplest option: Same rent, new 12-month contract
  • Still need new Ejari registration

Option C: Tenant Leaves

  • Give/receive 90-day notice (UAE law requirement)
  • Schedule move-out inspection
  • Process security deposit refund
  • Cancel Ejari
  • List property for new tenant

Common Mistake: Waiting until contract expires to discuss renewal β†’ Tenant already found new place β†’ You have 1-2 month vacancy β†’ Lost AED 15,000+ rent.

Pro Tip: Start renewal talk 90 days early. Even if tenant declines, you have time to find replacement with zero vacancy gap.
