Different rental scenarios require different documents. This comprehensive checklist ensures you collect everything needed for smooth Ejari approval and legal compliance.

Quality Standards (CRITICAL)

ALL documents must be:

  • Colored scans/photos (NOT black & white)
  • Clear and legible (all text readable)
  • Valid (not expired)
  • Complete (all pages if multi-page)
  • PDF or high-quality JPG format
  • Maximum 10MB per file

Common Quality Issues:

  • Black & white photocopies โ†’ Ejari WILL reject
  • Blurry photos โ†’ AI extraction fails, manual re-entry needed
  • Partial scans (cut off edges) โ†’ Missing critical info
  • Low resolution โ†’ Unreadable when zoomed

New Rental Deals: Required Documents

From Tenant (Individual):

1. Emirates ID

  • Front AND back
  • Valid (not expired)
  • Colored scan
  • Why: Primary identification for Ejari
  • AI Extraction: Name, ID number, nationality, DOB, expiry

2. Passport

  • Photo page (with name, photo, passport number)
  • Valid
  • Why: Secondary ID, visa reference

4. Proof of Income (Recommended)

  • Salary certificate from employer, OR
  • Bank statements (last 3 months)

  • Not required for Ejari but recommended

5. Signed Tenancy Contract

  • All pages
  • Initialed on each page (best practice)
  • All parties signed
  • Dated
  • Why: Core legal document

From Tenant (Corporate):

1. Trade License

  • Valid (not expired)
  • Company name must match contract
  • Why: Proves company legitimacy

2. Memorandum of Association (MOA)

  • First and signature pages minimum
  • Why: Proves authorized signatories

3. Authorized Signatory Emirates ID

  • Person signing contract must provide ID
  • Why: Ejari verification

4. Company Stamp

  • On contract and official letters
  • Why: UAE requirement for company docs

From Owner (Individual):

3. Board Resolution OR POA

  • Authorizing signatory to execute lease

Property Documents:

1. DEWA Bill

  • Recent (within 3 months)
  • Shows premise number (10 digits)
  • CRITICAL: DEWA number is #1 Ejari rejection reason if wrong
  • Why: Property identification in DEWA system

2. Floor Plan (Optional)

  • Helpful for property records
  • Useful for inspections
  • Why: Reference for condition reports

3. Building NOC (Some Buildings)

  • No Objection Certificate from building management
  • Required in some communities
  • Check with property management
  • Why: Community-specific requirement

Renewals: Document Checklist

Good News: Most documents carry forward!

Must-Have New Documents:

  1. New Signed Contract
    • Updated terms (rent, dates)
    • All parties re-sign

Must-Verify Still Valid: 2. Tenant Emirates ID - Not expired? 3. Tenant Visa - Not expired? 4. Owner Documents - Same owner? Still valid?
