Creating a rental deal in TenancyDesk captures everything needed for a compliant UAE tenancy transaction. This guide walks through every field, explaining what's required and why.

Before You Start

Documents You'll Need:

  • Tenant Emirates ID (front + back, colored scan)
  • Tenant passport (photo page)
  • Tenant UAE visa
  • Owner Emirates ID or passport
  • Title deed (latest version from Dubai Land Department)
  • DEWA bill (for premise number)
  • Signed tenancy contract

Time Required: 12 minutes (first deal), 6 minutes (subsequent deals with AI)


Step 1: Initiate New Deal

Path: Dashboard โ†’ Click "New Deal" button (top right)

Deal Type Selection:

  • New Rental โ† Select this for first-time tenancies
  • Renewal (use when extending existing contract)
  • Termination (use when ending tenancy early)

Why This Matters: Deal type determines workflow stages and compliance checks. New rentals have stricter document requirements than renewals.

Click "Continue" โ†’ Deal created in Draft status with unique ID (e.g., DEAL-2026-001234)


Step 2: Property Information

Essential Fields:

Building Name: Marina Heights Tower

  • Use official building name from title deed
  • Consistency matters for Ejari matching

Unit Number: 1205

  • Exact unit from title deed
  • Include floor if building uses Floor-Unit format (e.g., 12-05)

Community/Area: Dubai Marina

  • Select from dropdown (pre-populated with Dubai communities)
  • Used for RERA rental index lookup

DEWA Premise Number: 1234567890

  • CRITICAL FIELD - 10 digits from DEWA bill
  • Wrong format = 100% Ejari rejection
  • Find it: Top right corner of DEWA bill labeled "Premise Number"

Property Type: 1BR Apartment

  • Options: Studio, 1BR, 2BR, 3BR, Villa, Townhouse, Office, Retail
  • Affects rental index calculation

Furnishing: Unfurnished

  • Options: Furnished, Semi-Furnished, Unfurnished
  • Impacts expected rent range

Pro Tip: Take photo of DEWA bill and keep in deal documents. You'll need it multiple times during Ejari process.


Step 3: Rental Terms

Annual Rent: AED 95,000

  • Enter total annual amount
  • TenancyDesk will calculate payment splits

Contract Start Date: January 1, 2026

  • Must be future date or today (cannot be in past)
  • Determines payment schedule dates

Contract Duration: 12 months

  • Standard UAE lease term
  • Options: 6 months (rare), 12 months (standard), 24 months, 36 months

Number of Cheques: 4

  • How many payments per year
  • Common: 1 (annual), 2 (bi-annual), 4 (quarterly), 12 (monthly)
  • System auto-calculates: AED 95,000 รท 4 = AED 23,750 per cheque

Payment Dates Auto-Generated:

  • Cheque 1: January 1, 2026 - AED 23,750
  • Cheque 2: April 1, 2026 - AED 23,750
  • Cheque 3: July 1, 2026 - AED 23,750
  • Cheque 4: October 1, 2026 - AED 23,750

Security Deposit: AED 5,000

  • Typical: 5-10% of annual rent
  • Held as security against damages
  • Must be returned within 14 days of move-out (UAE law)

RERA Compliance Check: If previous rental exists at this property, system checks:

  • Is rent increase within RERA permitted limits? (Decree 43/2013)
  • Green = compliant, Yellow = borderline, Red = illegal increase

Step 4: Add Tenant

Click "Add Tenant" โ†’ Two options:

Option A: Manual Entry

  1. Full Name: Omar Mohammed Khalid
  2. Emirates ID: 784-2025-1234567-8
  3. Nationality: United Arab Emirates
  4. Date of Birth: 1990-05-15
  5. Mobile: +971 50 123 4567
  6. Email: ahmed.m@email.com

Option B: AI Extraction (Recommended)

  1. Click "Upload Emirates ID"
  2. Select front image โ†’ Toggle "AI Extract Data" ON
  3. Upload back image โ†’ Toggle ON
  4. System fills all fields automatically
  5. Review the extracted fields and confirm
  6. Time: 30 seconds vs 3 minutes manual

Tenant Employment Info (Optional but Recommended):

  • Employer: Emirates NBD
  • Job Title: Senior Manager
  • Monthly Income: AED 25,000
  • Reason: Helps if tenant disputes arise, shows payment capacity

Add Additional Tenants (If Applicable):

  • Click "+ Add Another Tenant" for joint leases
  • Common: Married couples both on contract

Step 5: Add Property Owner

Same Process as Tenant:

Manual or AI Entry:

  • Full Name: Emaar Properties PJSC
  • Emirates ID: 784-2020-9876543-2 (if individual)
  • Trade License: 123456 (if company)
  • Mobile: +971 4 123 4567
  • Email: leasing@emaar.ae

Owner Bank Details (For Payments):

  • Bank: Emirates NBD
  • Account Number: AE07033400012345678901
  • IBAN: AE070334000123456789012
  • Beneficiary Name: Emaar Properties PJSC

Why This Matters: If you manage rent collection, having bank details in system streamlines payment processing.


Step 6: Upload Documents

Go to "Documents" tab

Required Documents Checklist:

From Tenant: Emirates ID (front) - PDF or JPG, colored, valid Emirates ID (back) - Shows expiry date Passport (photo page) - Must match name on ID UAE Visa - Valid residence visa Contract (signed) - All pages, initialed

From Owner: Emirates ID or Passport - Proof of identity Title Deed - Latest version from DLD

Property Documents: DEWA Bill - For premise number verification Floor Plan (optional) - Helpful for inspections

How to Upload:

  1. Click "+ Upload Document"
  2. Select document type from dropdown
  3. Choose file (max 10MB, PDF/JPG/PNG)
  4. Toggle "AI Extract Data" if applicable
  5. Click Upload

AI Extraction Works On:

  • Emirates ID โ†’ Extracts name, ID number, nationality, DOB, expiry
  • Passport โ†’ Extracts passport number, issue date, expiry
  • Visa โ†’ Extracts visa type, sponsor, expiry date
  • Title Deed โ†’ Extracts plot number, area, owner name

Document Status Tracking:

  • Green checkmark = Uploaded and verified
  • Yellow warning = Document expiring within 30 days
  • Red X = Missing or expired

Step 7: Review Ejari Readiness

Click "Ejari" tab

Readiness Score: 85/100 (Yellow - Almost Ready)

What's Blocking 100/100:

  • Missing: Tenant visa (15 points)
  • ๏ธ Warning: Tenant Emirates ID expires in 45 days (consider renewal)

Action Items:

  1. Request visa copy from tenant
  2. Upload visa โ†’ Score jumps to 100/100
  3. Green status = Ready to submit

Common Blockers:

  • Invalid DEWA number format (20 points)
  • Missing tenant visa (15 points)
  • Expired Emirates ID (15 points)
  • Unsigned contract (25 points)
  • Missing title deed (25 points)

Ejari Submission Process (When Ready):

  1. Click "Download Submission Package"
  2. Receives ZIP file with all documents organized
  3. Visit authorized typing center
  4. Pay AED 220 (RERA) + typing fees
  5. Receive Ejari certificate
  6. Upload certificate to TenancyDesk โ†’ Deal marked complete

Step 8: Set Payment Reminders

Go to "Payments" tab

Enable Automation:

  • Toggle "Enable Payment Reminders" โ†’ ON
  • Reminder Schedule:
    • 7 days before due date
    • 1 day before due date
    • On due date
    • 1 day after (if not marked received)
    • 3 days after
    • 7 days after

Delivery Method:

  • Email
  • WhatsApp (if integration enabled)
  • SMS (optional)

Mark Payments Received: When tenant pays โ†’ Click "Mark as Received" โ†’ Enter payment date and method

Late Payment Tracking: System automatically flags:

  • Yellow: 1-3 days late
  • Orange: 4-7 days late
  • Red: 8+ days late

Success Checklist

After creating deal, verify:

  • Property details complete (especially DEWA number)
  • Rental terms accurate (rent, dates, cheques)
  • Tenant information complete
  • Owner information complete
  • All required documents uploaded
  • Ejari score is 100/100 or on track
  • Payment reminders enabled
